The Club is pleased to announce that, with effect from 1 June 2010, the system for booking courts will change from the current paper based method located in the Diary Room at the Club to an online replacement.

This means that you will be able to book courts from your PC/laptop/mobile phone or other portable internet device.

Please note that, initially, it will not be possible to book courts at the club, unless you bring one of the above devices with you.

The purpose of this email is to give you all the information you need to get started. Remember that, if you have any problems you can contact any of the people shown at the end of this email for assistance.

How do I access the Booking System?

Via this article or the BookIt logo on the club’s website homepage. You will then need to login to the members area using your unique PTC website ID and password.
 
How do I book courts?
Before you can start booking courts you will need to register with BookIt Logo [from 1 June only]. On the BookIt homepage, click on '+ not registered? under the account login heading. Input your details on the registration page; your name, email address and password.
 
You will shortly receive a confirmation email from the BookIt system requesting you to activate your account. When you have clicked the activation link in your email, you will be directed to a BookIt page telling you that you have successfully registered. This page also refers you to help guides, which will provide you with information on how to book courts, cancel or change a booking, and edit your profile.
 
The system is very easy to use and, with the help guides you will very soon be familiar with how to use it. However, if you do experience any difficulty please contact one of the people below.
 
Any Other Tips?
When you book a court you will receive an email confirmation of the booking. We recommend that you take a paper copy of the email confirmation to the Club when you are due to use your booked court.
 
When you are using the system to book a court you will be prompted to indicate a ‘usage type’. If you select 'Members Booking’ your booking on the calendar will appear with that as the narrative. If you want your name to show on the calendar you will need to select ‘other’ as the usage type and then insert your name in the 'if other, please specify’ box. Members are recommended to use the ‘other’ booking option.
 
If, having booked a court, you then decide you no longer require it, you must cancel the booking on the system. This will enable other members the opportunity to book the court instead.
 
When will the Booking Sheets be Removed?
1 June 2010.
 
How will the System be Managed?
The Club has appointed three administrators, named below, to monitor the use of the system. One of their tasks will be to ensure that when courts are booked they are actually used.
 
Membership Feedback
After an appropriate length of time, probably three months, a survey will be carried out to canvas members’ opinion of how effective the new booking system has been.
 
The Club is confident that this new system will help members to book courts more easily and efficiently, and it will certainly save those boring walks down to the Club to book a court, as is currently the case!
